What will be paid back – and what will not

Refund Rules: When fees are refunded

The short answer: almost never. But there are exceptions – and important differences depending on the situation.

Visa is rejected
Application submitted, appointment attended, all documents submitted - the embassy decides against the grant.
β†’ Result
No refund. The visa fee is a processing fee – it is considered earned regardless of the outcome. Translation and apostille costs will also not be reimbursed.
Applicant withdraws application
After booking the appointment, but before the appointment or during processing.
β†’ Result
No refund of the fee. If the fee has not yet been paid, it will be waived. If it's already paid for, it's gone. Cancellation before payment: fee is waived.
Appointment canceled – embassy in debt
The embassy cancels the appointment (e.g. in the event of a strike, closed embassy) - not the applicant.
β†’ Result
Refund possible or new date. In rare cases, the embassy will refund the fee or issue an alternative appointment free of charge. Actively ask questions.
Paid twice or incorrect fee
Paid too much due to system error or misunderstanding.
β†’ Result
Reimbursement of the excess amount. Keep the receipts and apply in writing to the embassy. Typically takes 4-8 weeks.
Blocked account – visa not issued or not used
Blocked account was opened, money was deposited - but visa was rejected or no longer needed.
β†’ Result
Money is preserved. The blocked account balance belongs to the applicant. After the account is closed, the amount will be transferred back. Setup fee (€50-150) is non-refundable.
All additional costs – translations, apostilles, photos, health insurance – are never refundable, regardless of the outcome of the application. Plan these costs as sunk costs: They arise regardless of whether the visa is granted. If you don't plan for this, you will be burdened twice if your application is rejected and the subsequent application is submitted.

What many people plan incorrectly

Common misunderstandings about visa costs

These mistakes lead to unpleasant surprises – often exactly when things are most expensive.

01

"The visa costs 75 euros - no more."

The €75 is just the embassy fee. Translations, apostilles, health insurance and residence permits are also included. If you only budget €75, you will be surprised by the translation bill - and will have too little liquidity at the wrong time.

Budget mistakes
02

"If rejected, I get the money back."

No. The visa fee is a processing fee - it will be retained no matter what the decision is. All additional costs are also gone. If the application is rejected and a new application is submitted, the costs will be incurred a second time – in full.

Refund error
03

"My English diploma doesn't need a translation."

All foreign language documents – including those in English – must be translated into German for the German visa process. English is no exception. Only in rare exceptions will the embassy accept English-language originals without translation.

Translation error
04

"The blocked account money is lost if the visa is rejected."

Wrong. The money in the blocked account belongs to the applicant and will be paid back after the account is closed. What doesn’t come back: the setup fee (€50-150). The money itself is never β€œgone”.

Blocked account error
05

"With the visa, I'm done with the administrative costs."

After entry, the immigration authorities come: residence permit, biometric residence permit, later if necessary settlement permit and naturalization. Each of these steps costs an additional €100-255 – not once, but with every extension or change.

Follow-up costs
06

"I can do the translation quickly myself or online."

Self-made translations are not accepted by German authorities. Neither do online tools. A sworn translation from an approved translator is required – with stamp, signature and job title. If you don't know this, you will have to have it translated again shortly before the appointment.
